Privacy notice
How we handle your personal data
This notice covers this website, emails and calls, intro-call bookings, outreach and client work. The short version: we collect little, we don't sell or share it for marketing, and you can ask us to delete it.
1. Who we are
Retrieverworks LTD is the controller of the personal data described here. That means the company, not any one person, decides why and how it is used, and is responsible for it.

2. Visiting this site
This site sets no cookies and loads nothing from other companies: the fonts and images are served from our own domain.
We count visits with Vercel Web Analytics, which runs from our own domain. For each page view it records the time, the page, the page you came from, filtered link parameters, your country and region, and your operating system, browser and type of device. It sets no cookie, does not link a visit to your IP address, and cannot follow you across sites. To count each visitor once, it works out a short-lived visitor code from each request; the code is thrown away after 24 hours, so nothing links your visits beyond that. We only ever see totals.
Vercel also hosts the site. Like any web host, it receives your IP address when your browser asks for a page, so that it can send the page back and protect the service from abuse. We don't use it to identify you.
Why: our legitimate interest in running a secure website and knowing, in aggregate, which pages are read.
3. If you email, call or message us
If you email us, we receive your email address, your name if you include it, and whatever you write. If you call or message the phone number on this site, we receive your number and what you say or send. We use it to deal with your enquiry and for nothing else. If you go on to work with us, section 6 covers what we keep from then on.
Email runs on Google Workspace. The phone number is a UK mobile, shown on the site for now; calls and texts are carried by our mobile network, which handles them under its own obligations as a telecoms provider.
Why: our legitimate interest in answering the people who contact us. If you are a sole trader asking about working with us, it is also a step you asked for before a contract.
4. If you book an intro call
The booking button opens our booking page on Calendly. It is a plain link, so this site sends nothing to Calendly until you click it. Calendly’s page asks for its own cookie consent and is covered by Calendly’s privacy notice. When you book, we receive your name, your email address, the time you chose and anything you add to the booking. Calendly sends you the confirmation. The booking is also added to our Google Workspace calendar, and the call runs on Google Meet.
Why: our legitimate interest in arranging the calls people ask us for. If you are a sole trader and the call is about working with you, it is also a step you asked for before a possible contract.
5. If we contacted you first
We sometimes contact local businesses we think we could help. If we contacted you first, we found your business contact details in public business sources: listings on Google and Google Maps, adverts in local publications, your firm’s own website and social media pages, and the Companies House register. We hold your name, your role, your firm, your business contact details, where we found them, and a note of what we sent and any reply. Our first message tells you where we found your details and links to this notice.
We email only people at companies, at business addresses. We don’t send unsolicited emails or messages to sole traders or partnerships, because the law treats them as individuals. Before we call any number, we check it against the Telephone Preference Service and the Corporate Telephone Preference Service, and we don’t call numbers registered there. Every message tells you how to stop hearing from us. Reply “unsubscribe”, or write to the privacy address above, and we will not contact you again. We keep only what we need to make sure of that.
Why: our legitimate interest in telling businesses about services relevant to them. You have the right to object at any time, and when you do, we stop.
6. If you become a client
We keep the contact details of the people we work with, the agreement, invoices and project correspondence. Data inside your own systems that we handle while building for you is covered by the data processing terms in our agreement with you, under your instructions, not by this notice.
Why: performing our contract, where you are personally a party to it; otherwise our legitimate interest in working with the people at the business we work for. Also meeting our legal duties, for example keeping accounting records.
7. What you don’t have to give us, and what we don’t do
You don’t have to give us any personal data. Without contact details, though, we can’t reply to you or book a call.
We don’t make decisions about you by automated means alone, and we don’t build profiles of visitors.
8. Who else sees it
We don’t sell personal data, and we don’t share it for anyone else’s marketing. These providers process it for us, under contract and only on our instructions:

We may also disclose data where the law requires it.
9. How long we keep it
We keep personal data only as long as it has a use, and we delete it on request unless the law requires us to keep it.
- Visit counts are anonymous totals. The visitor code behind them is discarded after 24 hours.
- Emails, messages and bookings are kept while the conversation is active or could reasonably continue, then deleted. Nothing deletes them automatically yet, so if you want yours gone sooner, ask and we will delete them.
- Outreach records are kept while there is a reason to contact you. If you object, we keep only the contact details we used to reach you and the fact that you objected, so that we never contact you again by any of them.
- Client records are kept for the length of the work, and accounting and tax records for as long as UK tax law requires, usually six years.
10. Your rights
Under UK data protection law you can ask us to:
- tell you what personal data we hold about you and give you a copy;
- correct anything that is wrong;
- delete it;
- limit how we use it;
- stop using it, where we rely on legitimate interests, including for outreach;
- give it to you, or to someone else, in a usable format, where that applies.
Write to privacy@retrieverworks.co.uk. We will answer within one month, and it is free. We may ask you to confirm who you are first.
If you are unhappy with how we handle your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office: ico.org.uk/make-a-complaint or 0303 123 1113.
11. Changes to this notice
If what we collect or how we use it changes, we update this page and the date at the top.
